Check-In Instructions Builder

Most arrival problems come from instructions written in a hurry: a missing gate code step, an unclear entrance or parking guests can’t find in the dark. Choose your entry method and arrival details and this builder writes a clear, step-by-step check-in message you can paste into Airbnb, Vrbo, Booking.com or your PMS. It uses placeholders like [ACCESS CODE] so you never type a live code into a website.

Don’t enter real door codes, Wi-Fi passwords or full addresses here. Placeholders are added for you.

How it works

The builder assembles your message from short, tested blocks in the order guests need them: getting there, parking, getting in, then the first few things they’ll look for once inside. Each entry method has its own numbered steps.

Anything sensitive becomes a placeholder: [ACCESS CODE], [WIFI PASSWORD], [STREET ADDRESS], [UNIT NUMBER]. Fill these in where you send the message. On Airbnb, scheduled messages and shortcodes can insert some details automatically.

Make the instructions work in real life

  • Test them once yourself, ideally at night. That’s when unclear entrances and dark parking show up.
  • Add one photo of the door or lockbox in your listing’s arrival guide if the platform allows.
  • Keep rules out of check-in messages. Under Airbnb’s policy, house rules and requests belong in the House rules section of your listing, not in messages or signs.

Thrive Hosts covers this in Airbnb check-in instructions and self check-in vs host check-in.
