Airbnb iCal sync delays and double booking risk

You block a date on Airbnb and it still shows as open on another platform, or the other way round. Calendar sync through iCal is common among hosts who do not use a full channel manager, and it has one known weakness: it is not instant.

Why iCal sync lags

iCal works by one platform periodically fetching another’s calendar link. It is not a live connection, so a booking on one site can take time to appear on the other. The refresh interval depends on each platform and can change, so check the help pages of the platforms you use rather than assuming a number.

The risk: double bookings

During that gap the same dates can be booked twice. The risk is highest on busy dates, last-minute bookings and listings on several platforms. Our guide on avoiding double bookings on Airbnb and VRBO walks through the practical steps.

Reduce the exposure

  • Add a buffer: set a minimum notice period and a preparation time so very recent bookings cannot slip through.
  • Block dates manually on every platform when you make a personal or owner booking.
  • Check calendars daily on busy periods, especially before a weekend.
  • Make sure each calendar link is still active and was not regenerated.
  • Keep availability tight on the platform where you most want bookings, as a fallback.

When to move beyond iCal

If you manage several listings or channels, a channel manager that syncs through direct connections usually updates faster than iCal. See do Airbnb hosts need a channel manager and PMS vs channel manager to decide. The channel manager readiness checklist helps you test whether you are ready to switch.
