Short-term rental task tracking for cleaners and vendors

Tasks for cleaners, handymen and other vendors tend to live in text messages, which means they get lost. A simple tracking system makes sure every job has an owner, a due date and a result.

What every task needs

  • What needs doing, in one clear sentence.
  • Which property and which unit.
  • Who is responsible.
  • The deadline, usually tied to a check-in.
  • Photos or a short note as proof of completion.

Choose a tool you will actually use

A shared spreadsheet, a task board or a messaging group can all work. The best tool is the one your cleaners and vendors will open without prompting. Avoid anything that needs a long training session. Whatever you choose, keep one place as the source of truth.

Keep a simple status flow

  1. New: created and assigned.
  2. In progress: accepted by the person doing it.
  3. Done: finished with a photo or note.
  4. Checked: reviewed by you or your co-host.

Standard jobs vs one-off jobs

Turnovers repeat, so use a checklist; the turnover checklist builder gives your cleaner a consistent list. Repairs are one-off, so log the issue, the vendor, the date and the cost, and see our guide on common maintenance issues for what tends to come up.

Close the loop

The common failure is a job that is done but never confirmed. Ask for a photo and a short note, and acknowledge it. For verification without being there, see how to verify cleaning remotely. If a cleaner cancels at the last minute, this guide covers your backup plan.

Want tasks tracked and chased for you?

We coordinate cleaners and vendors remotely, track each job to completion and report back, so nothing depends on a text thread.
