Short-term rental monthly KPI review routine

Most hosts check bookings daily and numbers rarely. A short monthly review turns scattered data into decisions about price, listing and operations. It does not need a complex dashboard.

Pick a few numbers and stick to them

  • Occupancy: nights booked divided by nights available.
  • Average daily rate: room revenue divided by nights booked.
  • Revenue per available night, which combines both.
  • Booking lead time and length of stay, which show how guests buy.
  • Review score and response time, which affect visibility.
  • Costs per stay, including cleaning, supplies and platform fees.

Check the definitions your own tools use, as some calculate them slightly differently. Consistency matters more than perfection.

A 30-minute review

  1. Export or copy the month’s numbers into one sheet.
  2. Compare with the previous month and the same month last year if you have it.
  3. Note anything that moved sharply and look for the cause: a price change, a gap in the calendar or a slow response time.
  4. Decide on one or two actions for next month.
  5. Write them down and check them next time.

Turn numbers into actions

Low occupancy may point to pricing or listing issues; see Airbnb competitor set pricing and the break-even occupancy guide. A slow review score may point to common guest complaints. The profitability calculator helps you see what a change would do.

Owners usually want a short summary, not a spreadsheet. Our guide on an owner monthly report shows a simple format.
