New Airbnb setup checklist before first guest

A new listing that goes live before the property is truly ready creates problems that are hard to undo. The first reviews set the tone for months, and a missing towel, a confusing lock or a Wi-Fi network nobody has tested will show up in them. A setup checklist is less about ticking boxes and more about making sure the first guest has the same experience you described.

This is a working order for the things to finish, grouped so that each stage depends on the one before.

Check the local rules before anything else. Many cities and regions require a registration, licence, permit or tax account for short-term rentals, and some limit the number of nights or restrict certain building types. Rules vary widely, so confirm them with your local authority, and check homeowners association or lease terms where relevant. Review your insurance too, since a standard home policy may not cover guests. Taking this step first avoids having to take a live listing down later.

Safety and guest-ready essentials

Smoke and carbon monoxide alarms, a fire extinguisher where appropriate, first-aid supplies, clear emergency information and working locks are the basics. Test everything and note the dates. Beyond safety, make sure the property can actually host a stay: enough bedding and towels, a stocked kitchen, cleaning supplies, toilet paper, spare bulbs and batteries, and a place for guests to put their luggage. Our guide to which amenities matter most to guests helps decide what is worth adding.

Access and technology

Decide how guests get in and make sure it works without you. If you use a smart lock, test the guest code, the cleaner code and a backup method. Check the Wi-Fi speed in several rooms and write the network name and password in a visible place. Label the thermostat, the TV remote and the appliances that confuse people. Our article on smart locks for remote hosts covers the setup in more detail.

Operations: cleaner, vendors and supplies

Hire and trial the cleaner before the first booking, share a checklist and agree how photos and issues are reported. Line up a backup cleaner, a handyman and an emergency plumber or electrician. Set up the linen and supply routine so the property can run a same-day turnover. Our short-term rental operations checklist lists the routines worth having in place from the start.

Guest communication and the house manual

Draft the booking confirmation, pre-arrival message, check-in instructions and checkout reminder before the first inquiry arrives. Write a house manual with the practical answers guests ask most, such as parking, heating and bins. Create a short contact plan for urgent issues, including who responds out of hours.

The listing itself

Photograph the property once it is fully set up, not before. Write an accurate title and description, list amenities truthfully, set house rules and a cancellation policy you are comfortable with, and check the calendar settings for minimum stay and advance notice. If you are comparing platforms, our guide on listing on multiple OTAs explains the trade-offs.

Run a trial stay

If you can, have a friend or relative stay a night with instructions to behave like a guest. Ask them to use the check-in instructions as written, test the Wi-Fi, cook a meal and take a shower. A real stay finds problems no checklist will, such as the door that sticks or the hot water that runs out. Fix what they find before the listing goes live.

Launch checklist

  1. Confirm local licensing, tax and insurance requirements.
  2. Test safety equipment and access methods.
  3. Stock the property and set linen and supply routines.
  4. Hire and trial a cleaner and line up backups.
  5. Write the house manual and guest messages.
  6. Photograph the finished property and write an accurate listing.
  7. Run a trial stay and fix what it finds.
